Summary
Default Actions automatically send replies or manage chat assignments when your team is unavailable, a customer is waiting for a response, or a conversation is about to expire.
This guide explains how to configure working hours, set up Default Actions for each channel, and understand which action Wati applies when multiple settings could match.
Note: Default Actions is a legacy feature. We recommend using Rules for new automation because Rules provide more flexibility and better performance.
Instructions
Default Actions or Rules?
Use Rules instead of Default Actions when setting up new automated replies.
There are 2 important differences:
Cost: Welcome and out-of-office messages sent through built-in Rules are free. The same messages sent through Default Actions are chargeable.
Working hours: Default Actions use your configured working hours. Rules run outside working hours unless you add a working-hours filter to the Rule.
For more information, see how to set up rules in Wati.
Before you begin
Make sure you have:
Access to Team Inbox in your Wati account.
Permission to edit automation settings.
At least 1 reply material if you want to configure a Default Action that sends a message. A reply material contains the message that Wati sends automatically.
Set your working hours
Working hours determine when your team is available. Several Default Actions use these hours to determine when they should run.
Go to Automation > Default Actions.
Next to Current Working hours, click Set Working Hours.
Set the hours your team is available for each day. For example:
Monday to Friday: 09:00–17:00
Sunday: Closed
To mark your team as unavailable for an extended period, select Holiday Mode.
Click Save and close.
Your working hours now appear next to Current Working hours.
Note:
If you add multiple working-hour entries for the same day, only the last entry applies.
If you use multiple WhatsApp numbers, you can configure working hours separately for each number.
You can also configure working hours for Instagram and Facebook Messenger.
Instagram and Facebook Messenger share the same working hours as your default WhatsApp number.
Configure a Default Action
Default Actions are configured separately for each channel.
Go to Automation > Default Actions.
Select the channel you want to configure: WhatsApp, Instagram, Messenger, or TikTok.
Select the checkbox for the Default Action you want to enable.
If the setting sends a message, select a message from the Select material dropdown.
If the setting requires a time, enter the required value in the field provided.
Repeat these steps for any other settings you want to enable.
Click Save settings.
Repeat these steps for each channel you want to configure.
Understand which Default Action runs
Wati sends only 1 Default Action for a customer message, even if multiple settings could apply.
For message-based Default Actions, Wati checks the settings in this order:
Welcome message for new chats
Reply outside working hours
Reply when no agent is online during working hours
Fallback message
Wati sends the first Default Action that matches and does not continue to the next setting.
Two settings are scheduled separately and are not part of this order:
Reply when a customer has waited too long — sends a reply after a customer has waited for the configured number of minutes without receiving a response.
Follow up before the 24-hour window expires — sends a follow-up when the customer's messaging window is about to expire.
When Default Actions do not run
A Default Action runs only when:
The contact is not currently in a chatbot flow.
The chat is not assigned to an agent.
No earlier Default Action has already replied.
If a chatbot is handling the conversation or an agent is already assigned to the chat, the Default Action does not run.
Default Actions that send messages
These 6 settings send messages automatically. Each setting requires a material.
1. Send a welcome message for new chats
Enable this setting to send a welcome message when a customer starts a new chat and their message does not match any keyword.
This setting has the highest priority among the message-based Default Actions.
Note: Welcome messages sent through Default Actions are chargeable. Built-in Rules can send welcome messages for free.
2. Reply outside working hours
Enable this setting to automatically reply when a customer messages you outside your configured working hours.
This setting runs only if the welcome message setting did not apply first.
3. Reply when no agent is online during working hours
Enable this setting to reply when a customer messages during working hours but no customer service agent is online.
You can use a different material for this setting than the one used for replies outside working hours.
4. Send a fallback message when no keyword matches
Enable this setting to send a reply when a customer's message does not match any keyword and no other Default Action applies.
The fallback message is the last message-based Default Action in the sending order.
Wati sends the fallback message no more than once every 30 minutes.
5. Reply when a customer has waited too long
Enable this setting to send a reply when a customer has waited longer than the configured number of minutes without receiving a response.
This setting applies during working hours and when the customer's message does not match a keyword.
Because this setting is scheduled based on the customer's wait time, it is not part of the message-based Default Action order.
6. Follow up before the 24-hour window expires
Enable this setting to follow up with a customer who has stopped responding before the 24-hour messaging window expires.
On WhatsApp, you can send free-form messages within 24 hours of the customer's last message. After the 24-hour window expires, you must use an approved message template to reply.
Wati sends this follow-up only when the conversation is not marked SOLVED.
Because this setting is scheduled based on customer inactivity, it is not part of the message-based Default Action order.
Default Actions that control chat handling
These 6 settings control how chats are assigned or handled. They do not require a material.
1. Always send the out-of-office message
Enable this setting to send the out-of-office message outside working hours even when the customer's message matches a keyword.
When this setting is enabled, Wati sends the out-of-office reply instead of running other automations outside working hours, including Keyword Actions, routing, and chatbots.
Note: Enable this setting only if you want these automations to stop outside working hours.
2. Auto-reassign when an agent does not respond
Enable this setting to automatically reassign a chat to another agent when the assigned agent does not respond.
3. Nudge and close inactive chats
Enable this setting to remind a customer who has stopped responding and close the chat if the customer does not respond.
4. Keep the last assignee for expired chats
Enable this setting to keep an expired or closed chat assigned to the last agent who handled it instead of assigning it to the bot.
When the customer sends a new message, Wati notifies the last assigned agent directly. This setting does not send an automated message.
5. Use round robin for expired chats
Enable this setting to assign expired chats using round robin instead of keeping them assigned to the last agent.
6. Assign new chats in round robin order
Enable this setting to distribute newly opened chats across the users in the assigned team using round robin.
You can also enable:
Skip users that are offline during assignment — skips offline agents when assigning chats.
Assign even if outside working hours — continues assigning chats outside your team's working hours.
Default Actions behavior and limits
Keep the following behavior in mind when configuring Default Actions:
Wati sends only 1 message-based Default Action for each customer message.
Wati checks message-based Default Actions in this order: welcome message, outside working hours, no agent online, and fallback message.
Default Actions do not run when a contact is currently in a chatbot flow or the chat is assigned to an agent.
Default Actions are configured separately for each channel.
Only the last working-hour entry for a specific day applies.
The fallback message is sent no more than once every 30 minutes.
The 24-hour follow-up is sent only when the conversation is not marked SOLVED.
When Always send the out-of-office message is enabled, Keyword Actions, routing, and chatbots do not run outside working hours.
Rules are not affected by working hours unless you add a working-hours filter to the Rule.
Welcome and out-of-office messages sent through Default Actions are chargeable. The same messages sent through built-in Rules are free.
Default Actions is a legacy feature. For new automation, we recommend using Rules.
Frequently Asked Questions (FAQs)
Default Action behavior
1. Why did Wati send a different message than I expected?
Wati sends only 1 message-based Default Action for each customer message. Wati checks the settings in this order: welcome message, outside working hours, no agent online, and fallback message. If an earlier setting applies, Wati does not send a later message.
2. Why didn't a Default Action run?
A Default Action does not run when the contact is in a chatbot flow or the chat is assigned to an agent. A Default Action also does not run if an earlier Default Action has already replied.
3. Why didn't my fallback message send?
The fallback message is the last message-based Default Action in the sending order. It may not send if another Default Action has already replied or if the fallback message was sent within the previous 30 minutes.
Channels and automation
4. Do I need to configure Default Actions for each channel?
Yes. Default Actions are configured separately for WhatsApp, Instagram, Messenger, and TikTok. You must configure each channel separately based on your requirements.
5. Why didn't my keyword automation run outside working hours?
If Always send the out-of-office message is enabled, Wati sends the out-of-office reply outside working hours and does not run Keyword Actions, routing, or chatbots.
6. Do Rules follow my working hours?
No. Rules continue to run outside your working hours unless you add a working-hours filter to the Rule.
Default Actions and Rules
7. Why was my welcome message charged?
Welcome messages sent through Default Actions are chargeable. To send welcome messages for free, use the built-in Rules instead.
8. Should I use Default Actions or Rules?
Default Actions is a legacy feature. For new automation, use Rules because Rules provide more flexibility and better performance.
Working hours
9. Why is only one of my working-hour entries being used?
If you add multiple working-hour entries for the same day, only the last entry applies. Wati ignores the earlier entries for that day.
