How to access and manage call recordings, transcripts, and summaries in Wati

Summary

The Call Recordings vault in Wati helps you manage all your call recordings from one place. You can view AI-generated transcripts and summaries, filter recordings, download or delete recordings in bulk, and configure automatic deletion rules based on your company’s data retention policies.

This guide explains how to access the Call Recordings vault, manage recordings, export data, and configure auto-deletion settings.

Instructions

Step 1: Open the Call Recordings vault

  • Log into your Wati account.

  • From the left navigation menu, click Call Recording.

  • The Call Recordings page opens and displays:

    • Call recordings

    • AI-generated transcripts

    • AI-generated summaries

Step 2: Filter recordings

Use filters to quickly find specific recordings.

  • Click the filter icon to filter recordings by:

    • Call type

    • Operator

  • Use the date range drop-down to filter recordings by duration.

  • Use the business phone number drop-down to view recordings for a specific number.

  • To remove all applied filters, click Clear filters.

Step 3: Download recordings, transcripts, and summaries

You can download individual recordings or export multiple recordings at once.

Download a single recording

  • Locate the recording you want to download.

  • Click the download icon next to the recording.

The download includes:

  • The call recording

  • The transcript

  • The AI-generated summary

Export multiple recordings

  • Apply filters if needed.

  • Click Export.

Wati exports all recordings currently visible on the page, with a maximum of 50 recordings per export.

Step 4: Delete recordings manually

You can delete recordings individually or in bulk.

Delete a single recording

  • Find the recording you want to remove.

  • Click the delete icon next to the recording.

Delete multiple recordings

  • Select recordings using the checkboxes.

  • Click Delete.

Step 5: Set up auto-deletion

Auto-deletion helps automatically remove older recordings based on your retention policy.

  • Click the three dots menu on the Call Recordings page.

  • Select Auto Delete Recordings.

  • Choose how long recordings should be retained.

  • Save your changes.

After setup, recordings older than the selected duration are deleted automatically.

Call recording storage is billed monthly based on the total recording minutes stored in your vault.

Yes. Click the download icon next to the recording you want to download.

6. Can I delete multiple recordings at once?

Yes. Select multiple recordings using the checkboxes and click Delete.

7. What does auto-deletion do?

Auto-deletion automatically removes recordings after the selected retention period. This helps you manage storage usage and align with internal or regional data retention policies.

8. Can I change the auto-deletion duration later?

Yes. Open the three dots menu, select Auto Delete Recordings, and update the retention duration anytime.

9. How is recording storage billed?

The first 1,000 minutes of stored recordings each month are free. Additional storage is billed at $0.01 per minute per month and deducted automatically from your Wati credit wallet.
