How to select multiple chats and perform a bulk action
You can select multiple conversations from the Inbox and apply the same action to all of them at once.
In the Wati Team Inbox, select the conversations you want to update.
You can select up to 15 conversations at a time.
Choose the bulk action you want to perform, such as Solve, Move to Pending, Assign to Operator, or Add Tags & Notes.
Confirm the action if prompted.
Wati processes each selected conversation individually. Conversations that support the selected action are updated, while conversations that cannot be updated are skipped.
For example, if you select 5 conversations and choose Move to Pending, but 2 of them are Expired, the 3 conversations that can be moved to Pending are updated and the 2 Expired conversations remain unchanged.
How does Bulk Chat Selection work?
When you apply a bulk action, Wati checks each selected conversation individually.
If a conversation can be updated, Wati applies the action.
If a conversation cannot be updated, Wati skips that conversation and continues with the remaining conversations.
This means that one conversation being ineligible does not cause the entire bulk action to fail.
Example: Move multiple conversations to Pending
Suppose you select 5 conversations and choose Move to Pending:
3 conversations are Open.
2 conversations are Expired.
The 3 Open conversations are moved to Pending.
The 2 Expired conversations are skipped because Expired conversations cannot be moved to Pending.
What happens if some selected conversations cannot be updated?
Only the conversations that can be updated are changed. Conversations that cannot be updated remain unchanged.
For example, if you select 5 conversations and choose Solve, but 1 of the conversations is Expired, Wati solves the conversations that can be solved and skips the Expired conversation.
You do not need to remove ineligible conversations before applying a bulk action.
When is each bulk action applied?
The result of a bulk action depends on the current status or assignment of each conversation.
Bulk action | Applied when | Skipped when |
Solve | The conversation is Open or Pending | The conversation is Expired |
Reopen | The conversation is Solved or Pending | The conversation is already Open or Expired |
Move to Pending | The conversation can be moved to Pending, such as when it is Open | The conversation cannot be moved to Pending, such as when it is Expired |
Assign to Operator | The conversation can be assigned to the selected operator | The conversation cannot be assigned because of its current status or assignment settings |
Assign to Team | The conversation can be assigned to the selected team | The conversation cannot be assigned because of its current status or assignment settings |
Unassign | The conversation has an operator or team assignment that can be removed | The conversation is assigned to a bot |
How many conversations can be selected at once
You can select up to 15 conversations at a time.
If you need to perform the same action on more than 15 conversations, process them in multiple selections.
Why was a conversation skipped during a bulk action?
A conversation is skipped when the selected action cannot be applied to its current status or assignment.
For example:
An Expired conversation is skipped when you choose Move to Pending.
A conversation already in Open status is skipped when you choose Reopen.
A conversation assigned to a bot is skipped when you choose Unassign.
The other selected conversations are still processed normally.
